Payment processes for grant recipients and suppliers

Creative Australia currently makes payments on a weekly basis according to the due date of payments and required approvals covering all grants and suppliers, domestically and internationally.  

What is the payment process for grant recipients? 

The grants payments process covers all grants and opportunities offered by Creative Australia, including awards and fellowships.  

Grant payments are triggered via acceptance of your successful grant agreement, using the details supplied such as an ABN and bank account details matching this ABN.  

It is important to ensure your bank account details are accurate when you accept your grant agreement. Please do not update or delete your bank account details until after your payment has been received.

What is the payment process for suppliers to Creative Australia? 

The supplier payment process covers all other payments, including travel allowances, procured goods and services.  

Supplier payments are triggered when the accounts team receives your invoice via your contact at Creative Australia, in line with your contractual terms. Our standard payment terms are 30 days. 

How do we verify our payments? 

Creative Australia uses third party providers to support its payment verification processes. These processes help protect our payments by ensuring funds are received by the intended recipient, and intended recipients are genuine.  

As part of our supplier and payee onboarding process, you may be asked by Creative Australia to supply: 

  • Contact Name
  • GST registration details including ABN
  • Organisation or Company Name
  • Contact details including Postal Address, Email and Phone Number
  • Bank account details
  • Superannuation details including Tax File Number and Date of Birth 

Creative Australia currently partners with Eftsure, Fluxx, TechnologyOne, Commonwealth Bank and Australian Retirement Trust for processing of its payment obligations. 

The Australian Cultural Fund partners with ArtsPay, eWay, PayPal, Xero, SalesForce, and National Australia Bank in managing the fundraising platform. 

Payee verification process 

Eftsure confirms your data before we process your payment. We will require you to register as a supplier / payment recipient with Eftsure and validate your details. 

Once you have registered your details, you will receive a 4-digit reference number. You may receive a call or a follow up email from an Eftsure team member to verify that the details are correct. You will receive a confirmation email when your data has been verified by Eftsure. 

If you have previously completed the Eftsure verification process with another organisation, you may not require further verification from Eftsure if your details remain unchanged. 

You can update your details at any time either directly via Eftsure or by contacting the accounts team at Creative Australia to send you an ‘Eftsure change request’. You can email: accountsshare@creative.gov.au

Eftsure may also periodically contact you to verify your details remain correct. For online safety and fraud prevention, never click on links supplied via email or text. 

It is your responsibility to ensure your details are up to date. Please notify us immediately if your details change, or if you notice any discrepancies.
